First Online Meeting Held on April 9
Due to Indiana's governor's shelter in place order, The Rotary Club of Michigan City Indiana held its first online meeting on April 9, 2020.
 
The meeting was attended by about 20 members via WebEx meeting software.
 
Debbie Tatum was our first-ever online speaker and gave us a very informative update on the coronavirus from Franciscan Alliance.  In addition cowboy Tom Keene presided over a very interesting and fun sergeant-at-arms program.  The good of the order was accomplished by the meeting moderator unmuting Rotarian's phones in a round robin manner allowing each attendee to speak.
 
Other topics discussed were the following club projects:
  • Encouragement Cards and items for the eldery, first responders and Healthcare Workers.
  • Making Masks and gowns for Healthcare Workers.
  • Food pantry donations.
  • Recording the reading of the Apple Dumpling book for distribution to the schools.
  • Presenting Al's gift cards for the staff at Patrick's Grille.

Online Meeting Donations
When coming to a regular lunch meeting you have the opportunity to donate money for
  • the eyeglass program
  • feeding the pig for the Thanksgiving hams and turkeys
  • buying a ticket or tickets for the queen of hearts drawing
  • and/or paying fines in the Sarge program.
Obviously you cannot do this during our online meetings.  Well, we don't want you to miss the opportunity to continue this tradition. So we have put together a way for you too donate to these categories online between meetings.
 
A video tutorial on meeting donations is available on our website by choosing Meeting Tutorials on the menu. We encourage you to take advantage of this opportunity. The queen of hearts drawing will be based upon the donations between meetings.
Support programs for those affected by the coronavirus
During the April 9th meeting three projects were presented to support those affected by the coronavirus.
 
  • Encouragement Cards and items for the elderly, first responders and Healthcare Workers
    • At the last board meeting it was decided that we should find ways to support the elderly by purchasing books and crafts they can work on during the shelter in place order.  Some ideas were
      • Crossword puzzles
      • Sudoku puzzles
      • Reading books
    • In the mean time, JIm Welborne developed an 'encouragement card" which could be placed in the puzzles or books.
      • Rotarians can download the Microsoft Word template from the website by choosing Encouragement Card Template on the menu.  Once downloaded you can
        • change the graphics and/or verbage
        • print multiple copies of the template
        • fold the printouts into 4.25" by 5.5" cards
        • deliver the cards to the Salvation Army or drop them off to responders, Healthcare Workers or any other persons helping others in this time of need.
    • When we get a sufficient supply of cards at the Salvation Army, we will ask for volunteers to purchase the puzzles and books and distribute them to the elderly.
    • If you you do not have time to make the cards (or if you just wish to donate) you can go the website and choose Gift Items after clicking Donations on the menu.
  • Making Masks and gowns for Healthcare Workers.
    • During her presentation DebbieTatum discussed making masks and gowns for health care workers. Subsequently Jessica O'Brien sent an email to all of us on how to make gowns and masks.
    • In addition, Jim Welborne presented a slide entitled Masks for NWI Healthcare Workers which add additional instructions on how to make masks along with a video showing the procedure. Here are the links:
  • Food pantry donations
    • Lastly the board decided it would be a great service to donate funds to food pantries in Michigan City.  To accomplish this a choice called Food Pantry Donation ha been placed in the page displayed after choosing Donations in the menu.

Online Meeting Attendance Best Practices

When you first arrive at the meeting feel free to talk with other attendees.
 
Once the meeting starts mute your microphone to eliminate background noises and avoid over talking.
 
If you want to ask a question or make a comment
  • Wait 2 seconds after the last person has spoken
  • Unmute your microphone
  • State your name and ask your question
  • Mute your microphone
 
Online Meeting Access
 
NOTE: If you are accessing the meeting from an Apple or Android device you will need to install the WebEx meeting client from the App Store or Google Play prior to the meeting.
 
It is recommended to install the Cisco WebEx Windows app from the Microsoft store if using a windows computer.
 
You will be able to access the meeting from home via your computer or telephone with the following options:
 
  • Computer with camera, speakers and microphone
    • You will be able to see and hear the presenters and the presenters will be able to see and hear you.
  • Computer with no camera but with speakers and microphone
    • You will be able to see and hear the presenters and the presenters will be able to hear you.
  • Computer with no speakers or no microphone
    • You will be able to see the presenters
    • You will use your phone to call in so the presenters can hear you and you can hear the presenters.
  • No computer
    • You will use your phone to call in so the presenters can hear you and you can hear the presenters.
 
Access by computer is preferred as it will allow you see the meeting as well as keeping audio interference to a minimum.
 
You will receive an invitation via email to join the meeting. Simply click on Join meeting.
 
Between meetings be sure to purchase queen tickets, donate to the pig, donate to eyeglasses and/or donate to the sarge program.
